Distribution2025 — now
Replacing a legacy back office with an AI-assisted operations platform
A warehouse and back-office system built around how the team really works — agents draft the paperwork, people make the call.
An East Coast luxury appliance distributor
The problem
A luxury appliance distributor serving 250+ dealers was running on a legacy tech suite, paper and email. Receiving meant reconciling piece-count notices against trucks that mixed POs. Dispatch lived in inboxes. A new ERP was on the calendar, and nothing on the floor matched how the work actually happened.
What we built
- 01
Operations platform
Warehouse and back office in one system: receiving against mixed-PO trucks and partials, serial scanning, release-to-dispatch, photos on every load.
- 02
Agents that draft, people who decide
Agents read vendor notices and email intake and draft the record. A person approves every one — and every workflow runs without the AI, too.
- 03
Dealer portal
Inventory, orders and account management for the dealer network, on the same data the warehouse uses.
- 04
Product-knowledge & voice assistants
Assistants grounded in hundreds of models' worth of spec sheets, pricing and service docs, for dealers and the team.

Outcome
Designed on the warehouse floor with the people who use it — iPads and scanners in the warehouse, Macs in the office — and rolled out step by step.
